JOB PURPOSE/SUMMARY:
As part of the inventory stock team, the position holder has responsibility for all stock taking initiatives undertaken at any at the Company’s warehouses. All stock checks are to be approached in a systematic and controlled manner to produce the desired outcome. Adherence to all guidelines governing stock check practice are to be adhered to.
Strict adherence to all operating and administrative guidelines and the Company’s Health, Safety, Security and Management System (HSS&E) is required at all times. No deviation from established guidelines are permitted unless expressly advised by the Spare Parts Manager. It is necessary that the position holder becomes familiar with the Company’s Dealer Management System (CDK.)
DUTIES/RESPONSIBILITIES:
Logs in upon arrival for work, using the automated Bio Metric machine. (Finger printing machine.) and be at the designated work station at 7:45 a.m.
Seek guidance/ advice on any uncertain requests or aspects of projects or duties.
Assist in the sorting, arranging and organizing of stock items before any physical checks are undertaken.
Immediately pull/remove any defective items from bins before any stock check is done.
Seek approval and authorization from the Senior Spare Parts Manager via e- mail to “write off” or dispose of defective items. There is to be no deviation.
Perform physical stock count of inventory and reconciles actual stock count to CDK computer generated reports.
Record accurately all items checked on the stock count work sheet, signs and date same in block letters and signature.
Update all bin cards with current stock check data, ensures that all bin cards are signed and dated by the person who did the check.
Investigate, analyze and trouble shoot inventory control problems and advises the Senior Spare Parts Manager and the Spare Parts Manager via e- mail of findings within Twenty Four Hours.
Conduct spot counts/ rechecks as directed by the Senior Spare Parts Manager, makes inventory adjustments and updates same in the CDK database system.
Perform stock checks of all spare parts and other items on a schedule basis with a minimum count rate of Three Hundred (300) line items per day.
Prioritize and perform daily workload assigned by the Spare Parts Manager whilst at the POS location and communicate to him immediately on challenges impacting on the 300 line item stock check or similar matters.
Prepare and submit all inventory control reports to the Senior Spare Parts Manager as determined by him and in keeping with the scope of works to be performed.
Respond to enquiries from the Spare Parts Manager/Assistant Manager, regarding inventory discrepancies before the end of the business day or otherwise directed.
Assist the stock room/ warehouse staff in the clarification/ positive identification of un- marked or unclassified spare parts.
Implement and maintain proper filing systems of inventory reports for auditing purposes.
Perform clerical tasks including answering telephone, taking messages and sending e- mails.
Suggest alternative inventory control methods to conduct checks to the Spare Parts Manager.
Assist with special projects.
Adhere to HSSE requirements including all COVID 19 protocols.
Perform other duties as required from time to time.

QUALIFICATIONS AND EXPERIENCE:
Minimum of Five (5) CXC passes including English Language and Mathematics.
Certificate in Inventory/ Stores Management is a definite asset.
Diploma in Supervisory Management is a definite asset.
Knowledge of spare parts is a definite asset.
At least five years (5) years working experience in a similar field, two of which must be at the supervisory level.
